Administrative Assistant needed in Bentonville

JOB DESCRIPTION

GENERAL DESCRIPTION OF POSITION

Provide clerical assistance to support the instructional and operational functions. Duties include, but not limited to, maintaining databases and files according to specific guidelines, providing customer service; and answering phones. Employee will provide information and assistance to faculty, staff, students, and visitors.

ESSENTIAL DUTIES AND RESPONSIBILITIES

· Assists both faculty and students in communicating with each other as well as disseminating information regarding division/class updates.

· Enter and retrieve data and information from computer systems and software applications by processing schedule changes, cancellations, and closings; prepare course information for faculty payment in Workday; and schedule classrooms through Ad Astra software.

· Maintain faculty information files and college catalog, including contact information, courses taught, course syllabi, copies of gradebooks, office hours, and committee memberships.

· Update the department webpage as needed.

· Order textbooks for faculty.

· Greet and direct students and visitors, answer telephones, and relay messages.

· Make copies, correspondence, flyers, brochures, and forms as needed as requested for chairs, coordinators, and faculty.

· Maintain office equipment and report needing repair through IT or maintenance work orders.

· Order and maintain office supplies for faculty with the help of the Senior Admin and Procurement office.

· Send correspondence/ fax sheets; distribute and collect intra-office mail. Perform any other related duties as required or assigned.

 

Education and Experience

The formal education equivalent of a high school diploma.

Two years of experience in a specialized or related area applicable to work performed.

 

Knowledge, Skills & Abilities

Knowledge of record keeping procedures. Knowledge of work-related subject area. Knowledge of computers and software applications. Ability to establish and maintain filing systems. Ability to

operate standard office equipment. Ability to analyze documents to determine compliance with rules, regulations, and procedures. Ability to communicate both orally and in writing.

COMMUNICATION SKILLS

· Ability to effectively communicate information and respond to questions in person-to-person and small group situations with customers, clients, the general public, and other employees of the organization.

· Demonstrate professionalism at all times, recognizing that this position serves as the face or first impression of the Division.

· Exhibit excellent digital and interpersonal communication skills.

· Propose capacity-building solutions in response to the aforementioned data analysis and reports.

· Write reports and publish documents in a timely manner with the appropriate tone, style, and information needed for the rhetorical situation.
